Description
The Office Assistant is responsible for overall co-ordination of order entry, invoicing and export/retail documentation in an efficient and effective manner while ensuring excellent customer service.
Responsibilities
- Responsible for the monitoring of order entry and invoicing.
- Monitors the outstanding orders report and ensures that all customer orders are executed and completed in a timely manner.
- Responsible for maintaining the EDI system master files and monitoring the systems performance.
- Prepares sales reports and analysis as required by the Sales Managers.
- Coordinates export documentation.
- Provides overload order entry and invoicing support as well as relief coverage as required.
- Interfaces with Logistics staff and Corporate Financial staff on a regular basis.
- Enters/changes pricing in the system for Grocery Customers and distributes these price lists to Customer Service Department.
- Liaises with customers on service rebates, deductions taken, and reconciles customer contracts.
- Assists in annual audit pertaining to invoicing.
- Reviews current procedures to identify business process improvements.
- Be a Brand Advocate of Rogers Foods.
- Follow Good Manufacturing Practices (GMP’s) while performing tasks job duties and tasks.
- Other related duties as assigned.
Qualifications
- Post Secondary business administration and/or bookkeeping experience/training.
- Demonstrated analytical and problem solving skills.
- Experience using MISys, SAGE, EDI and D365 are preferred.
- 3-5 years’ related experience.
- Above average computer application skills are required (Microsoft Office Suite).
- Demonstrated interpersonal skills and aptitude to work within a team environment.
- Excellent written and verbal communication skills.
